1. Who we are
VunaBook is a business management system made and run by VunaTech in Tanzania ("VunaBook", "we", "us"). These terms are an agreement between VunaTech and the business that opens a VunaBook account ("the company", "you"), and every person who uses the account for it.
By signing up, or by using VunaBook, you accept these terms. If you do not accept them, do not use VunaBook.
2. Your account
- You must give true details when you sign up and keep them up to date.
- The person who signs up must be allowed to act for the business.
- You are responsible for your users, their passwords and everything done with your account. Give each staff member their own login and only the access they need.
- Tell us at once if you think someone used your account without permission.
3. Free trial, plans and payment
- A new company gets a free trial (the number of days is shown when you sign up). No payment is asked for during the trial.
- After the trial you pay for the plan you choose, monthly or yearly, at the price shown on the Billing & Plan page. Prices are in Tanzanian shillings (TZS).
- An invoice is made before each period. If it is not paid by the end date, VunaBook keeps working for a few grace days, then the account is paused until it is paid. Your data is not deleted when the account is paused.
- A bigger plan starts at once and the difference for the days left is billed. A smaller plan starts at the next period.
- Payments already made are not refunded, except where the law requires it or VunaTech agrees in writing.
- We may change prices. A new price applies from your next period after we tell you.
4. Your data
- The records you put into VunaBook (customers, sales, stock, money, employees ...) belong to your company. You can download them at any time (Security & Data).
- We use your data only to run VunaBook for you, to support you, and as described in the Privacy Policy. We do not sell it.
- You are responsible for having the right to keep the personal data of your customers, suppliers and employees in VunaBook, and for using it lawfully.
5. Acceptable use
You must not use VunaBook to:
- break the law, including tax law, or help anyone else do so;
- send messages people did not agree to receive (spam) through the SMS or email features;
- try to get into other companies' data, attack the system, or copy, resell or rebuild VunaBook;
- upload harmful files or content that is illegal or offensive.
We may pause or close an account that breaks these rules. Where we can, we tell you first and give you a chance to fix it.
6. Service, backups and support
- We work to keep VunaBook available and safe and make backups every night, but we cannot promise it will never be interrupted (for example during maintenance, internet or power problems).
- Support is given through the Support chat, phone and email shown on the Billing page.
- Some features use other providers (SMS, mobile money, email). Their own terms also apply.
7. Tax receipts and records
VunaBook helps you keep records, but you remain responsible for your tax returns, EFD/VFD receipts and the correctness of your records. Check reports with your accountant.
8. Limit of liability
VunaBook is provided "as it is". To the extent the law allows, VunaTech is not liable for indirect losses, lost profit or lost business. Our total liability for any claim is limited to what you paid us in the 3 months before the claim.
9. Ending the agreement
You can stop using VunaBook at any time; tell us if you want your account closed. We may close an account that is not paid for a long time or that breaks these terms. Before closing, you can download your data. After closing we keep data only as long as the law requires.
10. Marketing agents
Agents who bring companies to VunaBook are independent. They may help you, but they cannot change these terms or promise anything for VunaTech.
11. Changes and law
We may update these terms. The new version is shown here with its date; important changes are also announced in VunaBook. These terms are governed by the laws of the United Republic of Tanzania, and disputes go to the courts of Tanzania.
